Most subs already have a change order template. It was fine for the first one. Four jobs and a dozen change orders later, these are the four places it gives out — and none of them is fixed by a better-looking form.

It does not know which number is next

CO-004 exists twice because two PMs each saved a copy of the same file. The GC asks which one is the real 004 and somebody has to go through the sent folder to find out.

Memory

It does not remember what you sent

The document is a file. Three weeks later the question is “what did we price for the elevator lobby?” and the answer is in whichever folder the PM who wrote it uses.

It breaks quietly

A pasted row lands outside the SUM range and the total is wrong by one line. Nothing turns red. The GC catches it, or worse, does not, and you eat the difference.

Status

It cannot answer “what is outstanding?”

A folder of PDFs holds no status. Which ones are approved, which are sitting with the GC, and how much is unresolved — that is a question about a log, not about a document, and a template has no log.

Before you sign up

Is it actually free, or is this a trial?

Free. It is its own plan, not a countdown — no credit card, no end date, and no cap on how many change orders you write. What it has instead of a time limit is a boundary: one user, and the change order document itself. Everything that leaves your office — emailing the GC, the review link they sign on, inviting your team — is on the paid plan.

What do I have to give you to sign up?

An email address, and a click on the verification link we send to it. That is the whole gate. No card, no phone number, no call from anybody.

What is on the change order PDF?

Your logo and brand color, the job and the GC it belongs to, the scope description, the line items with quantities and unit prices, and the totals. At the foot of the page there is one line that reads “Made with SubMark — submark.io”. On the free plan that line cannot be switched off; on the paid plan it can.

Can my GC sign it on a link, like DocuSign?

Not on the free plan. Sending the change order from SubMark with a review link — the GC opens it, reads the PDF, and approves or rejects it without creating an account — is a paid feature, and so is the T&M tag your foreman gets e-signed on site. On the free plan you download the PDF and send it yourself.

If I upgrade later, do I lose what I built?

No. Your change orders carry over unchanged, and upgrading runs the normal setup already filled in with what the builder knows about your company and your jobs. You are not starting again.

Is this built for residential remodels?

It is built for commercial specialty subcontractors billing a general contractor — electrical, plumbing, HVAC and mechanical, drywall and framing, concrete, glazing, fire protection and the rest. A residential remodeler can use it, but the vocabulary on the document is the one a GC expects, not a homeowner.

What does the paid plan cost, if I get there?

$249 a month for your company, including your first 3 office users, and $39 a month for each office user after that. Field crews, foremen and the subcontractors you invite to your jobs are free and unlimited. Every module is included — nothing is held back for a higher tier.
